BTF Meeting Notes, Sunday 26th May 2013

Gold Coast Supanova debrief

Badges didn’t sell as well this time – maybe because people had already bought them from last year.
Ideas on ways to make money for the charity were discussed:

  • Quickfire Raffles – drawn every 2 hrs or so. Regular announcements for raffle draws over loudspeaker would help publicise Hobbit booth
  • Frog keyrings – these chirrup when pressed – cute. May be good to sell? (Frodo Frogs?) Need to find out where to get them.
  • Sample bags – could include small trinkets e.g. a badge, a Proudfoot poem, possibly a drink, snack (license issues?) – could have a working bee to make items. Sell for approx $5.
  • Photo booth – this worked well for Star Trek booth. Set up an area by Hobbit booth with backdrop(s) where people pay to get photographed with costumed volunteers. Could have working bee to paint backdrops.

Mythcon – Fortinbras Proudfoot Foundation has been invited to have a booth at this newish fantasy convention held a couple of weeks before Supanova in Brisbane. Discussion on whether to be involved – to be continued…

Costume Party, 11th May debrief

  • All agreed it was a success
  • Suggestion put forward to have another one between now and October
  • Agreed to have a Christmas in July (Hobbit’s 2nd Christmas) – barbecue – venue and date to be confirmed

Dinner Dance, Oct 12th

  • Sponsors that can donate prizes are needed – contact Peter Kenny or Amy Bechley if you can help in this area
  • Invite everyone possible (unfortunately is on the same night as the ConQuest banquet) – guests can wear costume or smart casual dress
  • Tickets now available online – see link at left of this page

Martin Pearson – folk singer, comedian

  • Has offered to do a small concert – Friday night, 20th Sept – to be confirmed
  • Possible venue – SCA Riverhaven Hall, Wesley St, Lutwyche – seats approc 60 people. Trevor Wheate to find out costs and if available.
  • Discussed possibility of having a barbecue before concert – BYO

NZ Tour of Middle Earthttp://redcarpet-tours.com/

  • If interested in going contact Peter Kenny by 9th June – if group is large enough will get a discount
  • Tour is 14 days long – around $4000

SciFi Fantasy Month – August

  • Each year the BTF does a display in Logan Library – also some attend on Grand Finale day in costume
  • Ideas for this year – “An Unexpected Journey” theme; ask if Kelly & Brendon will lend warg costume for display (Brendon dress up in it on Finale Day?)
  • Anyone interested in helping with display contact Peter Kenny or Trevor Wheate

Logan Central Library book sale – Saturday, 3rd August, 9am – 2pm

  • BTF members (in costume?) can man the sale table and keep all proceeds for Fortinbras Proudfoot Foundation
  • Also can run a raffle (possible prize a Hobbit cake? commission Kelly to make?)

Pyjama Day 2013 – 21st June

  • Pyjama Foundation would like hobbits in pyjamas to be photographed for this day
  • Anyone interested contact Peter Kenny

Meet & Greet Day

  • Discussed possibility of having this – a marquee would be required – possibly borrow one from Rotary
  • Needs to be promoted so others from outside the group will come – defer until next year

Newsletter / Website

  • Discussed the need for a newsletter – decided on just having the website at this stage with more regular contributions
  • Need to have a few editors – have access to website and upload content; and many reporters – email content to one of the editors
  • When providing or posting articles on the website (or Facebook), always ensure the source is attributed

Meetings 

  • Monthly meetings to be resumed at the Coffee Club in Milton
  • Held on 3rd Sunday of each month at 11am for elevenses/2nd breakfast
  • Next meeting – 16th June, 11am
